If you’re anything like most entrepreneurs I work with, you’ve probably signed up for every shiny new tool out there: Asana, Trello, Planoly, ClickUp, Later, Buffer, Dubsado… and the list goes on. Yet somehow, nothing’s working. You’re flip-flopping between tools, wondering how to create the time freedom every guru talks about. The truth is, it’s not about having all the tools; it’s about having the right ones and using them well.
Let’s get clarity on your processes and set up your systems with ease so you can step into your role as the soul-led CEO you’re meant to be.
Step 1: Define your Customer Journey
Your customer journey is the backbone of your business systems. Nail this process, and everything else will fall into place. Grab a notebook and map out every touchpoint your customer experiences, from cold lead to loyal client. Here’s what it might look like:

- Discovery Call: How do prospects book a call? Is there an application form? What does the scheduling process look like?

- Onboarding: What happens after a client says yes? Do you send a welcome email, a client form, or a next-steps guide? Schedule a kick-off call?
- Working Together: How do clients interact with you? Scheduling calls, filling out questionnaires, or reaching out for support—make this clear and simple.
- Offboarding: Archiving files, gathering testimonials, sending a goodbye email—how do you close the client relationship on a high note?
This clarity will form the foundation of your systems and ensure your clients have a seamless experience.
Step 2: Choosing your Tech and Tools
Let’s tackle the tech. It’s time to stop signing up for every new platform and focus on what you really need. Here are the three key functions to prioritise:
1. Scheduling
Save yourself endless back-and-forth emails by using a scheduling tool. Prospects, clients, and team members can book straight into your calendar. Easy peasy.

2. Client Management
Manage forms, emails, proposals, contracts, and invoices all in one place. Automating these processes will save time and create a polished client experience.
